Office Manager

VT MAK - Cambridge, MA and Orlando, FL

VT MAK is looking for Office Managers to ensure smooth operations and provide administrative support at its Cambridge, MA and Orlando, FL offices. The successful candidate will provide front desk / reception services, interface with landlord and facility support vendors, coordinate human resources activities, plan and manage events, meetings, and employee engagement activities, maintain and resupply office materials, receive / send mail and deliveries, coordinate / execute facilities management and space allocation, enforce security procedures, implement emergency action plans, and more.

Job Responsibilities include, but are not limited to:

• Front desk / reception and visitor control activities
• Supplies ordering, receiving, and stocking (including office and kitchen supplies, soda/juice/coffee/tea, postage meter, food orders for meetings, etc.)
• Facilities management, including mail, conference center and special event reservations, entering approved facilities requests to building portal, tidying shared spaces for appearance, maintaining company phone list and organizational chart, space allocation and management, interfacing and coordination with landlord for services and change, etc.
• Support HR functions, including onboarding process, compliance, reporting, interview process, coordinating / resolving employee requests, etc.
• Event planning and execution, including company parties, program events, all hands meetings, and related events
• Support senior staff, including document management and distribution, requisitions, budget monitoring for office expenses, special projects, and other duties as assigned
• Identify and / or perform special projects as required to expand scope of work for the Office Manager career path as well as company growth


• Some college, Bachelor’s degree preferred
• Experience in similar position(s) is required; preferably in similar environment
• Experience using MS Office (Excel, Word, PowerPoint, etc.)
• Strong math skills
• Reliable and consistent punctuality and daily attendance
• Professional appearance, demeanor, and communication skills
• Ability to contribute / support Accounting and HR functions
• Proven strong ownership talents, self-motivation, and ability to work both autonomously and with geographically dispersed teams
• Strong problem-solving abilities
• Strong verbal and written communication skills in English
